This Personnel window is the equivalent of the Employee window in SAP Business One. In this window you can edit personnel master data.

It is possible to synchronize Beas- and SAP Personnel Data (SAP: Employee Master Data). We are working on a solution to migrate both functions.

 

PATH: Human Resources > Personnel > Open an entry.

Note: All fields with "x" in column "Sync" are synchronized automatically with SAP Business One Employee Master Data.

Currently only possible if you change the information in Beas window.

hmtoggle_plus1   Unique employee number

There are two number fields:

a) Beas Internal employee number (beas_pers.pers_id)

b) Employee number linked to SAP Business One

 

The second number is either linked to an existing SAP Business One entry or it is assigned automatically at new creation of the employee record.

 

Note: Personnel number is alphanumeric and is sorted accordingly; it is not sorted by numbers.

 

Example:

For personnel numbers 1–11 sorting is:

1,10,11,2,3,4,5,7,8,9,0

 

To avoid this, use initial 0, such as

001, 002, ... 011

 

If automatic personnel numbering was enabled in the Configuration wizard, the displayed list is sorted by numbers.

Connection to SAP B1 personnel master data.

Consist of First name, second First name, Last name.

 

Note: If you change the name, the new name is shown in all lists and archives. Beas does not save the name in any other document (according to GDPR Rules).

Important for language sensitive menus (like WEB Apps) which are displayed in the language of the logged in employee.

hmtoggle_plus1 Link to SAP B1 user name and personnel number

Certain kinds of data registrations as Quality control or Material posting require a linkage between SAP Business One - User and the personnel entry, if not started via Terminal.

 

Note:
Link can be established also in User administration – Extended.

If this option is disabled, the employee can no longer login or logout in presence recording.

 

Functions

Button

Meaning

Delete

Delete HR entry. With existing attendance entries the person will not be deleted, but set to "inactive".

Note:  The system asks separately if you wish to delete the entry in  SAP Business One  Employee Master Data.

User rights

Determination of extended editing rights and access for this user. Button is only visible, with authorization Personnel editing rights.

Program group

Open the authorization window for access on program groups.

Access can be defined per program group. This is only required when more than one program group had been activated.

Extended

Time evaluation for selected personnel entry.

Button only visible with the respective authorization.

See Time evaluation.

Reset SAP link

The system tries to link the SAP Business One Employee Master Data with Beas Personnel entry automatically. If the system is linked incorrectly, it will be possible to delete the link and to define a new link. For this you can choose the correct Employee entry.
If not available: Do not fill the field. The system will create a new entry automatically. Beas 2020.02
