The General Data Protection Regulation (GDPR) is a regulation by which the European Parliament, the Council of the European Union, and the European Commission intend to strengthen and unify data protection for all individuals within the European Union (EU). It also addresses the export of personal data outside the EU.
The GDPR aims primarily to give control back to citizens and residents over their personal data and to simplify the regulatory environment for international business by unifying the regulation within the EU.
It becomes enforceable from 25 May 2018.
It is to the best of Boyum IT Solutions A/S ability that Beas adhere to privacy by design as the add-on do not store any personal data beyond the SAP Business One database itself but below are references to how beas manufacturing handles its data.
General All configured data are stored in the SAP Business One database itself and will not leave the customers system. It is the people responsible for the SAP Business One environment that is responsible for this data.
We have a few features/modules that communicate with online services and these are listed below but none of these contains personal information.
License System Our online license check will at start-up of the add-in communicate with https://portal.boyum-it.com. During this call, we send the following information in order to verify you have a valid license Installation + System Number DB Name Number of SAP Users and assigned Beas users Database server name
Feedback System The add-on has an optional Feedback system that on add-in shutdown and in case of errors send anonymous data to Boyum's internal Feedback servers. It sends the following data to us: Add-on Version SAP Version OS Version SAP User name SAP Database name Stats for each module (number of configurations etc. - nothing customer specific)
You choose on initial install if you want to participate or not and can at any time turn it off. More information about the Feedback System can be seen here: http://www.boyum-it.com/sbo/uip
Personnel master data The operators of the shop floor are represented on Beas as “Personnel”; this information is collected at the Personnel master data table BEAS_PERS, the mandatory personal data collected here are: Fist name and Last name. Other fields of the table as part of Beas attendance module like (shift definition and rules), terminal module (as card_id to identify to the terminal, language and user rights) and cost calculations and accounting module (cost rates and cost centers related) Beas has its own personnel table separate from SAP Business One employee table, however we could connect the SAP Business One employees data with Beas Personnel data, but this is not mandatory, personnel master data may exist in a Beas table which is not in an SAP Business One table. When a Beas Manufacturing add-on is installed in a SAP database which already have employees created, the “data check” function provides an optional tool to copy SAP employees data to Beas personnel table. SAP Business One employee ID, name and last names will be copied to a Beas table.
Time recording As part of the factory data collection functionality, we record the time effort of the production operations. This information could be reported directly by personnel when they connect to the terminal and report a time receipt or could be reported by a responsible from the company to manage it through the time administration screen or directly at the work order. In any case a personnel ID is linked to a time receipt.
Terminal tracking When stock transactions are reported using a terminal app, each terminal has an associated sap user, however, the personnel ID is also saved in the SAP Business One document in order to identify who created the SAP Business One document as additional information for tracking purpose.
Attendance module If the attendance module is activated, Beas allows recording employee attendance information, absence, holidays and shift details by employee.
Quality control For the electronic signing when a sample is approved to release, the personnel Name and last name is saved at the quality control order. A quality control order can contain a business partner ID, the name of the business partner name will be also saved.
Interruptions When an interruption is reported, the personnel name and last name is saved when the user starts or ends the interruption additionally to the personnel ID.
Work order, Maintenance Order and complaint The business partner name is also saved when a Beas document is created for work orders, maintenance order and complaint system.
